Appointment Reminders are automated notifications sent to contacts, guests, and team members before and after scheduled appointments across four channels: email, SMS, WhatsApp, and in-app notifications. Every calendar can have its own reminder configuration, so a sales consultation calendar uses different timing and messaging than a customer support calendar. Automated reminders reduce no-show rates by 30 to 50 percent, set professional expectations, provide meeting details (location, video link, preparation instructions), and give contacts an easy path to reschedule rather than silently skipping.

What Appointment Reminders Do

The system covers the entire appointment lifecycle with six notification types:

Appointment Booked (Unconfirmed) fires immediately when someone books an appointment landing in unconfirmed status. Acknowledges booking was received, thanks contact, shares preparation instructions, and indicates confirmation is coming.

Appointment Booked (Confirmed) fires when appointment is booked with confirmed status or existing appointment is updated to confirmed. Include meeting time, location or video link, and pre-meeting instructions. This is the green-light message.

Cancellation Notification sent when appointment is cancelled, marked as no-show, or deemed invalid. Keeps all parties informed and can include link to rebook. For contacts, it’s a re-engagement opportunity. For team members, it frees the time slot.

Reschedule Notification triggered when appointment date or time changes. Clearly states new date and time to prevent confusion. Both contact and assigned user receive updated details automatically.

Reminder Notification is the primary no-show prevention tool sent before appointment based on timing intervals you configure. Stack multiple reminders at different intervals: 24 hours before (detailed email with agenda, location, preparation checklist), 1 hour before (short urgent SMS with time and meeting link), 15 minutes before (final “starting soon” ping via SMS).

Follow-Up Notification sent after appointment concludes based on timing you define. Thank contact for attending, share next steps, request review, or prompt booking follow-up session. Configure multiple follow-up intervals (1 hour after and 3 days after).

Key Configuration Options

Reminders are configured at individual calendar level under Notifications tab. Each notification type supports four channels independently: Email, SMS, WhatsApp, and In-App.

Email reminders offer most space for detailed, branded communication. Ideal for 24-hour reminder and confirmation messages including agendas, maps, or preparation guides. Use pre-built templates from Marketing > Emails > Templates or customize subject line and body directly. Personalize with custom values: {{contact.name}}, {{appointment.start_time}}, {{appointment.time_zone}}, {{appointment.location}}, {{appointment.calendar_name}}. Send test email to preview formatting and delivery.

SMS reminders have highest open rates (typically above 95 percent) and are backbone of no-show prevention. Keep messages short (160 characters per segment to minimize cost), always include appointment date, time, and location or meeting link, use country codes for additional recipients, and personalize with same custom values as email. Sample sequence: 24-hour (“Hi {{contact.name}}, reminder about your appointment tomorrow at {{appointment.start_time}}. Reply C to confirm or R to reschedule.”), 1-hour (“Your appointment starts in 1 hour at {{appointment.start_time}}. WhatsApp reminders require connected and verified WhatsApp Business Account through Meta. Particularly effective for international audiences and markets where WhatsApp is dominant. Only pre-approved WhatsApp templates can be used (must be approved by Meta before use). Click Fetch New Templates if you recently created or updated templates in WhatsApp Business Manager.

In-app reminders alert team members inside the platform itself with badge notifications in top navigation bar. For Event Calendars, account admins receive by default. For other calendar types, assigned user receives by default. Override defaults in notification settings. Ensures users actively working in the system never miss upcoming appointments.

Advanced Reminder Workflows

For scenarios beyond built-in notifications, Workflow Builder gives full control with conditions, branching, and multi-step sequences. Use workflows when you want to send reminder only if contact has not confirmed via previous message, include conditional content (different instructions for in-person vs virtual appointments), add tag, update custom field, or trigger pipeline action as part of reminder sequence, or send through channel not supported by built-in notifications (voicemail drops).

Create workflow under Automation > Workflows, use Appointment Confirmation + Reminder recipe for ready-made template, set trigger to Appointment Status > Confirmed, add Send Email or Send SMS actions with Wait steps between (“Wait until X time before event”), and add filter condition Calendar = [specific calendar name] to ensure workflow only fires for appointments on particular calendar.

No-Show Prevention Framework

Most effective reminders are part of broader strategy:

Layer 1: Confirmation at Booking - Send immediate confirmation (email and SMS) with date, time, time zone, meeting location or video link, preparation requirements, and clear reschedule link.

Layer 2: Multi-Channel Reminders - Stack reminders: 24 hours before via email (detailed), 2 hours before via SMS (concise), 15 minutes before via SMS (urgent).

Layer 3: Confirmation Requests - Ask contact to confirm attendance in 24-hour reminder, track responses, and follow up with non-responders via second channel.

Layer 4: Calendar Deposits - For high-value appointments, require booking deposit via Stripe integration. Even small deposit ($10 to $25) dramatically reduces no-shows.

Layer 5: Post-No-Show Recovery - If contact does not show, trigger workflow that tags as “no-show,” sends automated rebooking message, alerts assigned user to follow up personally, and tracks frequency on contact record.

  • Use at least two reminder channels. Email plus SMS is baseline. Some contacts ignore email but always read texts. Using both ensures maximum reach.
  • Time reminders strategically. The 24-hour and 1-hour marks are most effective intervals. Adding 15-minute SMS reminder catches people who lose track of time.
  • Include reschedule link in every reminder. Giving contacts easy way to reschedule prevents silent no-shows. A rescheduled appointment is far more valuable than missed one.
  • Enable internal notifications for your team. Even best client-facing reminders fail if team forgets to prepare. In-app and SMS alerts for assigned user ensure both sides are ready.
  • Avoid over-messaging. Three reminders is sweet spot for most businesses. Sending five or six reminders feels aggressive and leads to opt-outs or negative sentiment.

Can I send SMS reminders directly from calendar notification settings?

Yes. Calendar notification settings now support SMS alongside email, in-app, and WhatsApp. Configure SMS reminders, confirmations, cancellations, reschedule notices, and follow-ups directly under SMS tab without needing separate workflow.

How many reminder intervals can I stack?
